
Project Management
Rhizome takes a project specific approach to project management. The project management package for a given project is developed during the preconstruction phase of the project in collaboration with the client and design team. A strong and project specific management package should compliment the design team's project administration program and must above all ensure alignment of expectations around cost, schedule, and design. Not all projects requires the full compliment of project management instruments but every project benefits from effective and forward leaning management.

​RFI's: Protocol surrounding RFI's will be determined on a project by project basis. On smaller projects, a simple email RFI process may be adequate. However RFI's are managed, it is critical that the client is informed of and approves any additional design and/or engineering costs to be incurred.

Submittals: A list of items requiring submittals and dates by which approvals are required is developed during preconstruction. The degree of formality informing the submittal process is determined on a project by project basis. What is critical is that the client and the managing architect are aware of upcoming deadlines.

Cost Tracking: With each pay application, an updated cost tracking spreadsheet is submitted to the owner and/or managing architect. The cost tracking spread sheet breaks the pay application into individual budget categories and tracks cost to date, budgeted cost remaining, and cost to complete.

Changes to the Work: In an ideal world, every project would reach 100% design before ground breaking and changes to the work would be unnecessary. It is Rhizome's goal to work closely with the design team and the client to identify and resolve as many design gaps as possible during the design development phase however it is not always feasible to address every detail and resolve every design challenge prior to construction. There are design opportunities that present themselves during construction; there are moments when the client stands in a framed up house and realizes that, if only the living room window were framed another 24" to the south, they would have a perfect view of the evening light on the shoulder of Mt Jumbo. It is Rhizome's responsibility to inform the project team of any budget and/or schedule impacts of changes to the work and follow established project protocol for securing approval of changes to the work before any related work is performed. Costs related to changes to the work will be tracked on the cost tracking spreadsheet as individual budget categories.

Allowances: Allowances (items which have have not been specified at the time of finalizing the budget) will be included in the cost tracking spread sheet in a section of their own. Allowance amounts will be determined by the project team during the preconstruction phase. Final cost associated with allowances are not fixed and as such represent budget risk. Changes to allowances are documented in associated submittals and tracked in the the cost tracking spread sheet.

Scheduling consists of the following:

-An overall project schedule with active dependencies that allows the project team to track large scopes of work and critical path.
-A more granular task schedule shared with the project build team and detailing tasks to be completed on a week by week team by team basis.
-A two to three week "look ahead" presented at owner, architect, contractor meetings and aimed at giving the project team vision into the project work flow as well as upcoming decision and selection deadlines.
-A submittal/decisions schedule listing decisions and selections and when they will need to be finalized by the client and design team.
